Website development retainer: reserve a realistic sprint

Use a prioritized backlog rather than a blanket promise to finish every request. Agree what qualifies as a small feature, how estimates are approved, who tests releases and which tasks carry into the next month. Keep urgent support and product-roadmap work separate.

Example: one monthly improvement cycle

An illustrative plan allocates 16 delivery hours, 2 review/meeting hours and 1 communication/admin hour. At $75/hour, a 15% availability buffer and 10% profit buffer produce $1,802.63 for 19 included hours, before fees. A three-hour extra integration at an approved $90 overage rate would be $270 outside the monthly fee. These are our assumed budgets, not surveyed development rates.

Included development work

  • Agreed small features from a prioritized backlog

Retainer or fixed-price build?

A defined new site is often better handled as a scoped fixed-price project. An evolving backlog suits a capped monthly reservation. Compare the billing models and set approval and overage terms. Return to the general monthly fee tool for a custom service.

Frequently asked questions

What belongs in a website development retainer?

A prioritized queue of small approved features, bug fixes, reviews and scheduled releases. Define an hours cap; a retainer is not a promise to complete an unlimited roadmap.

Should unused development hours roll over?

Agree this before work starts. This calculator prices expected capacity but does not track hours or enforce rollover terms. Unlimited rollover can create more future commitments than you can deliver.

How do I charge for an extra integration?

Estimate it separately and obtain approval. You can set an independent overage hourly rate or quote a separate fixed project. Changing the overage input does not change the monthly base fee.

Can meetings be excluded from Included Hours?

Only by setting meeting hours to zero. Included Hours otherwise counts delivery, meetings and communication/admin, plus deliverables not already counted.

Can I export my edited development offer?

Yes. Check the results you want to send and edit their titles and values. PDF, Excel and Copy Results use those current selected results, not the unedited calculation or input form.
