How to price a WordPress website: inspect the starting point

Is this a fresh installation, a redesign or a rescue of an existing site? Ask for hosting access, plugin licenses, a content inventory and the current theme. Confirm whether the client needs a standard form, bookings, memberships or commerce. A working plugin demo is not proof that custom integrations will need no development time.

Split the estimate into tasks you can verify

  • Discovery: sitemap, approved content and layout requirements
  • Build: theme configuration, page templates, responsive styling and CMS setup
  • Migration: import, formatting, link checks and agreed redirect mapping
  • Testing: forms, permissions, mobile layouts and browser checks
  • Launch: backup, DNS coordination, deployment checks and client handoff
  • Reviews: a defined number of client feedback rounds

Example: a theme-led brochure website

Assume 24 core hours, 4 planning hours, 2 meeting hours, two revision rounds at 2 hours each and 2 admin hours: 36 hours. At $75/hour the labor value is $2,700. If the freelancer pays $150 for agreed assets or licenses, the subtotal is $2,850. A 10% risk buffer gives $3,135. With a hypothetical 3% processing fee and no other fees, the gross quote is $3,135 / 0.97 = $3,231.96. Enter these values in the project quote tool to inspect the breakdown. This is a made-up scope for learning, not a WordPress market average.

Use market context carefully

Compare the scope with the business-site range in Upwork's public project guide. That range is not WordPress-specific. A template setup, custom theme and complex store are different products. Ask whether your estimate covers design only or design plus implementation before comparing prices.

Separate third-party subscriptions from labor

List who buys and renews hosting, the theme and paid plugins. A recurring vendor bill is not a one-time build fee. Do not imply that a license can be transferred or reused without checking its terms. Use fixed expenses only for costs you actually absorb in this project; otherwise show client-paid costs separately in the proposal.

Keep post-launch maintenance outside the build

Specify a bounded launch-check period and distinguish defects against the agreed scope from new requests. A maintenance plan may include scheduled updates and backup checks, but custom feature work is a separate obligation. Estimate an hour-limited website care plan and define approval for extra work.

Prepare the quote

Use your own sustainable hourly baseline rather than a guessed flat price. Revisit the full web design quote walkthrough for scope and revision boundaries. Then edit and export selected results in the website project calculator. The PDF and Excel downloads are result summaries, not complete proposals or invoices.

Frequently asked questions

Does WordPress automatically make a site cheap?

No. CMS software does not remove discovery, design, content handling, integration, testing or client review work. Price the actual scope and responsibilities.

Where do paid plugins go in the estimate?

Use fixed project expenses for costs you absorb, or identify client-paid subscriptions separately. Clarify license ownership and renewal responsibility.

Is maintenance included in the project price?

Only when you explicitly scope and price it. Recurring updates and ongoing support should normally have their own defined service and budget.
